25+ Donation Thank-You Letters
In this video, Catie from RallyUp walks you through the five donation thank-you letters you’ll actually use the most — one for each donor type, and what each one has to do differently.
A thank-you letter isn’t a receipt. Each donor type is being thanked for something different: a first gift, an ongoing commitment, a relationship, a memory, or a contribution that never had a dollar value in the first place. Getting that distinction right is most of the work.
The five letters you’ll use most:
- First-time donors — your highest-stakes thank-you. Lead with their name, make the impact concrete, and invite them back in
- Monthly donors — don’t just thank the gift, thank the commitment. Call out reliability and cumulative impact
- Major donors — this one should come from your Executive Director, feel deeply personal, and invite a real conversation
- Memorial or tribute gifts — the tone shifts here. It’s not just a donation, it’s someone’s legacy. Name the person being honored
- In-kind gifts — never assign a dollar value to donated items. Describe what they gave and where it’s going
