Understand: How Auction Timing and Closing Works

How start and end times work, what bidders see as the clock winds down, and what happens the moment bidding closes.

Your Auction runs on a fixed schedule that you control. This article explains how to think about Auction timing from a donor’s perspective and an organizer’s perspective β€” including the one thing that surprises people most: there are no last-minute auto-extensions. You can manually change your Auction’s end date anytime before it ends, but it will end at the scheduled time regardless of last-minute bids. Once your Auction has closed, it cannot be reopened.


How Auction Start and End Times Work

You set your Auction’s start and end dates and times during Campaign Setup by going to Dates & Times in the timeline at the top. You also choose the time zone that applies to those times β€” this can be set as your organization’s default in your Profile settings, or selected individually for each Campaign.

The time zone you choose is the one displayed to all donors on your Campaign Page, regardless of where in the world they’re located. If your Auction ends at 9:00 PM Eastern, that’s what donors see β€” RallyUp does not convert the time to each donor’s local time zone. This is worth communicating clearly to your audience if you expect bidders from multiple time zones.

If your Campaign includes other fundraising Components alongside your Auction (such as a Raffle or Crowdfunding Component), you can set each Component to start and end on its own independent schedule, or you can set all Components to run on the same dates. Auction timing is controlled separately from your Campaign’s overall start and end.

The Countdown Timer

While your Auction is live, a countdown timer is displayed on your Campaign Page showing the time remaining in days, hours, minutes, and seconds. Donors can see it throughout their bidding session.

As the countdown approaches zero, this timer becomes the primary signal to bidders that time is running out. It’s one of the strongest natural motivators in an Auction β€” many bidders wait until they see urgency in the countdown before placing or increasing their bids.

This is precisely why it’s important to communicate early, and often, that there are no auto-extensions. Bidders who assume the clock might stretch β€” as it does on some consumer auction platforms β€” may hold off too long and miss their window entirely.


Last-Minute Bids and No Auto-Extensions

RallyUp does not automatically extend the Auction clock. There is no anti-sniping feature, no automatic time extension when a late bid comes in, and no grace period after the end time. When the clock reaches zero, bidding closes β€” immediately and completely β€” regardless of when the last bid was placed.

This is different from some consumer auction platforms (like eBay) where a bid placed in the final minutes can extend the deadline. On RallyUp, the end time is fixed.

For organizers, the practical implication is clear: let your bidders know well in advance. Include a reminder in your promotional emails, on your Campaign Page description, and in any event announcements that bids must be submitted before the Auction closes β€” not at the last second. A bidder who loses an item because they submitted a bid two seconds too late is unlikely to feel good about the experience, even if the outcome is technically correct.

For donors using Proxy Bidding, this matters less β€” the proxy system bids automatically on their behalf throughout the Auction without them needing to be present at closing time. For donors using English-Style bidding, the closing time is the deadline, and manual bids submitted after it will not be counted.

What Happens to Bids In Progress at Closing Time

If a donor is in the middle of submitting a bid when the Auction ends, the bid does not go through. There is no grace period, and a bid that was started but not fully submitted before the clock hit zero is not counted.

This can happen in practice when a donor fills out their bid amount and payment details but hasn’t clicked Submit yet, or if there’s a brief delay in their internet connection at the exact moment they submit. The result is the same: the bid is not placed.

The best advice for both organizers and donors is simple β€” don’t wait until the final seconds. Encourage bidders to place their bids well before closing time, especially for items they’re most interested in. For donors who want to bid competitively without monitoring the clock, Proxy Bidding is worth considering: set a maximum bid amount and let the system handle the timing.

⚠️ Warning: Bids started but not submitted before the Auction ends are not recoverable. Once the Auction closes, the item is awarded to the highest successfully submitted bid.


What Happens After the Auction Ends

Once the clock reaches zero and bidding closes, RallyUp takes over the most time-sensitive steps automatically:

  • Winning bidders are charged immediately. All winning bids are processed at the same moment the Auction ends, using the payment information each donor saved when they placed their first bid.
  • Receipts are sent automatically. Each winner receives a payment receipt by email.
  • Winner and non-winner notifications go out automatically on the schedule you configured β€” or manually, if you chose to handle notifications yourself.

Frequently Asked Questions

Can I end bidding for a single Auction item early?

It depends on your Auction type. In an Online or Silent Auction, you cannot close bidding for a single item on its own β€” all items end at the same time when the Auction closes. Your options are to hide the item (which prevents new bids from being placed on it) or to add a Buy It Now price so a donor can purchase it immediately rather than waiting for bidding to end. In a Live Auction, the auctioneer controls when bidding ends for each individual item.

What time zone is shown to donors?

Donors see the time zone you selected when setting up your Campaign β€” the same time zone for every donor, regardless of their location. RallyUp does not convert the displayed time to each donor’s local time zone. If your audience spans multiple time zones, make sure to communicate the closing time clearly and consider including the time zone label explicitly in your promotional materials (for example, “Auction closes Sunday at 9:00 PM ET”).

Do last-minute bids extend the Auction?

No. The Auction ends at the scheduled time no matter when the final bid was placed. A bid placed in the final second before closing is treated the same as a bid placed one hour before closing β€” as long as it was fully submitted, it counts. A bid started but not completed by closing time does not count.

What happens if I’m in the middle of placing a bid when the Auction ends?

The bid will not go through. If your bid was not fully submitted before the countdown reached zero, it is not counted and the item is awarded to the previous highest bidder. Submitting bids well before the closing time is the best way to avoid this.

What if a winner’s payment fails after the Auction ends?

Both you and the donor will receive an automatic email notification. The donor can update their payment information and resubmit directly from that email, and you can also reprocess the payment on their behalf from your Campaign Management Menu. Can I change my Auction’s end time after it goes live?

Yes β€” Campaign dates can be updated after your Auction goes live. Go to Campaign Setup and navigate to Dates & Times to adjust the end time. Keep in mind that donors who have already seen the countdown will be expecting the original end time, so if you change it, make sure to communicate the update to your bidders directly.

Can I reopen the Auction after it ends?

No. Once the Auction ends, it cannot be reopened or restarted. However, you can change your Auction end date in Campaign Setup anytime before it closes.
