How-to: View a List of Raffle, Sweepstakes or Auction Winners

View and export a list of winners for your Raffle, Sweepstakes, or Auction.

When your Raffle, Sweepstakes, or Auction ends, the person who created the Campaign will receive an email with the winner’s information. We know how important it is to access a list of winners and their contact information soon after your fundraiser ends, so you can view this information anytime through your Campaign Management dashboard. This winner management system provides you with all the details you need to contact winners, fulfill prizes, and maintain records for your organization. The interface makes it easy to see who won which prizes, export detailed reports for your records, and access mailing addresses if you collected them during checkout.


How do I view my Campaign winners?

Accessing your winner list requires navigating to the winner management section of your Campaign. This article shows you how to find your winners after they’ve already been drawn. If you haven’t drawn your winners yet, see Drawing Raffle and Sweepstakes Winners to learn how the drawing process works. Auction winners are finalized automatically when the Auction ends, so no drawing is required. To view your winners:

  1. Go to Account Navigation in the left menu and select Campaigns.
  2. If you have chosen a list view, click on the Campaign title. If you have chosen a grid view, click on the Campaign image.
  3. Select Manage Raffle/Sweepstakes/Auction Winners:

The winner list displays each winner’s name, the prize they won, and their contact information. Only the Campaign Organizer will receive an email with the winner’s information after the drawing has occurred or the Auction has ended. Anyone listed as a Campaign Administrator will not receive this email, but will be able to access winner data and reports through the dashboard.


How do I view winner mailing addresses?

If you asked donors to provide their mailing address at checkout, you can access this information for easy prize fulfillment:

  1. Hover over a winner and click on the three-dot menu on the right:

  1. Select View Mailing Address, which will make the following pop-up appear:

This popup displays the complete mailing address the winner provided, making it simple to ship prizes or send winner notifications via postal mail.


How do I export winner information?

The Export button in the bottom left corner allows you to view a detailed report with even more information collected from your winners. This export includes comprehensive data such as email addresses, phone numbers, entry purchase dates, transaction IDs, and any custom information you collected during checkout. The exported report can be saved as a spreadsheet for your organization’s records, shared with team members who need to coordinate prize fulfillment, or imported into your donor management system. This detailed export is particularly valuable for tax reporting, audit trails, and maintaining complete records of your fundraising activities.


Frequently Asked Questions

How soon after my Campaign ends can I view winners?

For Auctions, winner information is available immediately after the Auction closes. For Raffles and Sweepstakes, winners are available as soon as you complete the drawing process through RallyUp’s system. The Campaign Organizer receives an email notification when winners are finalized, and the winner list becomes accessible in your Campaign dashboard at that same moment. There’s no delay between winner determination and your ability to view the information.

Can Campaign Administrators view winner information?

Yes, Campaign Administrators can view winner information and export reports through the Campaign dashboard, even though they don’t receive the automatic email notification sent to the Campaign Organizer. All administrators with access to the Campaign can navigate to the winner management section and see the complete list of winners, their contact information, and mailing addresses. This ensures multiple team members can coordinate prize fulfillment.

What information is included in the winner export?

The exported winner report includes comprehensive information such as winner names, email addresses, phone numbers, mailing addresses (if collected), prize won, entry purchase date and time, transaction IDs, payment amounts, and any custom fields you included in your checkout form. The export format is typically CSV or Excel, making it easy to open in spreadsheet applications, import into databases, or share with team members who need the information.

What if a winner didn’t provide a mailing address?

If a winner didn’t provide a mailing address during checkout, the mailing address field will be empty in their winner profile. You’ll need to contact the winner directly using their email address or phone number to collect shipping information. Consider requiring mailing addresses during checkout for future Raffles or Sweepstakes if you’re shipping physical prizes, as this eliminates the need for follow-up communication and speeds up prize fulfillment.

Can I access winner lists from past Campaigns?

Yes, winner information remains accessible indefinitely in your Campaign dashboard. You can view winner lists from any past Raffle, Sweepstakes, or Auction by navigating to that Campaign and accessing the winner management section. This permanent record-keeping is valuable for tax purposes, donor relationship management, and referencing how previous fundraisers were conducted. Export and save detailed reports if you want backup copies of this information outside the RallyUp platform.
