How Do I Export Donation Reports from RallyUp?

Export detailed donation and donor reports from RallyUp in CSV format. Track contributions, fees, and donor details for reconciliation and tax records.


RallyUp allows nonprofits to export detailed reports of all donations, donor information, and transaction fees in CSV format for use in Excel or Google Sheets. These reports help you track contributions, reconcile your campaign finances, and maintain donor records for tax purposes.

Before you begin: Make sure you have access to your Campaign dashboard and know which report type you need (Donations, Donors, or Ledger).

How to Export Reports

  1. Go to Campaigns in the left menu.
  2. Click on your Campaign (title in list view or image in grid view).
  3. Select View Donations.
  4. Use the Donations, Donors, and Ledger tabs to navigate between report types:

  1. Click Export in the lower-left corner to download your report:

Donations Report

Best for: Tracking individual transactions and payment details

Key fields included:

  • Payment ID and donor information
  • Contribution and payment dates
  • Donation amount breakdown (flat donations vs. item purchases)
  • Fee details (RallyUp fees, processing fees, fees paid by donor)
  • Payment status and processor (Stripe or PayPal)
  • Custom fields and donor comments

Donors Report

Best for: Managing donor relationships and total giving

Key fields included:

  • Donor name and email
  • Total gross and net contributions
  • Last contribution date
  • Unique donor ID

Ledger Reports

Best for: Financial reconciliation and accounting

Available reports:

  • Transaction Ledger: Summary of all payments and refunds
  • Transaction Items Ledger: Itemized breakdown of purchased items (tickets, Raffle entries, merchandise)

  • Payment/refund details

How Do I View Details for a Single Donation?

  1. Go to Campaigns → Select your Campaign → View Donations.
  2. Hover over the donation/donor you want to view.
  3. Click the three-dot icon on the right.
  4. Select View Details:

Frequently Asked Questions

What format do exported reports download in?

Reports download as CSV (comma-separated values) files that open in Excel, Google Sheets, and other spreadsheet programs.

What does an asterisk (*) mean in the donation amount?

If only asterisks appear: The donor made a per-unit A-Thon pledge with no maximum limit, so the amount depends on Participant activity. The final donation amount will not display until the A-Thon is completed and Participant activity is finalized.

If amount has an asterisk: The donor set a maximum pledge limit—this shows the highest possible contribution. The final donation amount will not display until the A-Thon is completed and Participant activity is finalized.

Can I track early donations received before my Campaign launched?

Yes. Go to Campaign SetupOptionsCampaign Options, then enter your early donation total in the designated field. This amount appears in reports labeled as “Seed Amount” and cannot be changed after going live.

Gross contributions: Total amount donated before fees
