How-to: Allow an Individual or Business to Run Raffles or Sweepstakes for Your Organization

Learn how to invite an individual or for-profit business to run a charity raffle or sweepstakes on your organization’s behalf through RallyUp.

Raffles and Sweepstakes are excellent ways to raise money for a cause, but come with some legal requirements. If you’ve been contacted by an individual or business that wants to run a Raffle or Sweepstakes for your organization, we’ve made it easy to invite them while still ensuring you have complete oversight.

On RallyUp, individuals who fundraise on behalf of your organization are called Advocates, and for-profit businesses that fundraise on your behalf are called CSRs (Corporate Social Responsibility). The invitation process described below is the same for both.

How do I prepare my organization to allow fundraising on our behalf?

  1. Register your organization or group on RallyUp if you haven’t already: How-to: Get Started by Creating an Account on RallyUp.
  2. Set up a direct funding account to receive the funds raised.
  3. Invite the individual or business by adding them as an Advocate on your account (see steps below).

How do I invite someone to run a Raffle or Sweepstakes for my organization?

  1. Go to Organization Settings in the left menu and select User Management.
  2. Click on ACTIONS and select ADD ADVOCATE to enter their email address.
  3. Select INVITE to send them an invitation to set up and manage a fundraiser for your organization.

Note: The RallyUp system uses the “Add Advocate” button for both individuals and businesses. This does not change the customer type. Individuals remain Advocates and businesses remain CSRs.

Important: Each invitation covers one campaign only. If the individual or business wants to run multiple campaigns, you will need to send a separate invitation for each one.


What permissions and access do invited fundraisers have?

  • Once you invite them, the Advocate or CSR will receive a link via email to get started. They will not have access to your organization account or settings. They will only have access to the Campaign Setup Menu to create and publish the fundraiser.
  • You’ll be able to view, manage, or edit the fundraiser at any time. Feel free to reach out to your Advocates or CSRs to suggest edits to the fundraiser or to request that specific terms be listed.
  • The individual or business is responsible for setting up and managing the Campaign, but your organization remains ultimately responsible for legal compliance and reporting requirements related to Raffles and Sweepstakes.

How do I get started?

If an individual or business has contacted you about running a charity raffle or sweepstakes for your nonprofit, start by registering your organization on RallyUp and setting up your direct funding account. Once that’s in place, you can invite them in just a few clicks.

Frequently Asked Questions

What is an Advocate on RallyUp?

An Advocate is an individual you authorize to create and manage a Raffle or Sweepstakes fundraiser on your organization’s behalf. They receive limited access to set up the Campaign without accessing your organization account or settings.

What is a CSR on RallyUp?

A CSR (Corporate Social Responsibility) is a for-profit business that fundraises on behalf of your organization. CSRs can run offline raffles on their own, but they need an invitation from your organization to run online Raffles or Sweepstakes.

What access does an invited fundraiser have to my organization account?

Advocates and CSRs only have access to the Campaign Setup Menu to create and publish their fundraiser. They cannot access your organization account, settings, or other Campaigns. You maintain complete oversight and can view, manage, or edit their fundraiser at any time.

Do I need to set up anything before inviting someone?

Yes, you should register your organization on RallyUp if you haven’t already and set up a direct funding account to receive the funds raised. This ensures money flows directly to your organization during the fundraiser.

Do I need to send a separate invitation for each campaign?

Yes. Each invitation covers one campaign only. If an Advocate or CSR wants to run multiple Raffles or Sweepstakes for your organization, you will need to send a separate invitation for each one.

Can I make changes to a fundraiser created by an Advocate or CSR?

Yes, you can view, manage, or edit any fundraiser created by your Advocates or CSRs at any time. You maintain full control and can reach out to suggest edits or request that specific terms be included.

Yes, Raffles and Sweepstakes have legal requirements that vary by geographic location. Your organization is ultimately responsible for legal compliance, so both you and the individual or business running the Campaign should be aware of any requirements in your area before getting started.

An individual or business contacted me to run a standard fundraiser, not a Raffle. What should I do?

You can invite them to fundraise on your behalf through the same process described above. However, for standard fundraising campaigns (not Raffles or Sweepstakes), an invitation is not always required. Individuals can register as an Advocate, and businesses can register as a CSR on RallyUp to fundraise for any US 501(c) organization without an invitation.
